Medical Courier Workflow: Step-by-Step

Here's exactly how we handle medical specimen delivery from your clinic to the lab:

Step 1: Specimen Preparation (Your Clinic)

Your clinic prepares specimen according to lab requirements: blood draws labeled with patient ID, urine samples in sterile containers, tissue samples in formalin, etc. You place in our provided sealed container with temperature-appropriate packing (ice packs for refrigerated, room temp for standard).

Step 2: We Pickup On Schedule

Our driver arrives at your clinic at the agreed time (typically 3 PM daily, or custom timing). Driver scans container, photographs label, logs pickup time, and records chain-of-custody. You sign manifest; we email you a PDF receipt immediately.

Step 3: Temperature-Controlled Transit

Specimen is placed in insulated vehicle with maintained temperature (ice packs refresh if long route). Driver tracks temperature with digital log (optional high-security biohazard runs include thermometer records). For Nanaimo local: 15–30 min transit. Victoria route: 3.5 hours (ferry-maintained).

Step 4: Lab Delivery & Chain-of-Custody Handoff

Driver delivers to lab receiving desk, obtains signature + timestamp from lab technician, and photographs proof of delivery (container in lab's possession). Chain-of-custody form is completed with lab receipt time, condition notes ("Specimen arrived intact, temperature maintained"), and responsible person's name.

Step 5: Confirmation & Documentation

Within 30 minutes of delivery, you receive email with: proof-of-delivery photo, chain-of-custody summary, delivery timestamp, lab receipt confirmation. Your clinic records are complete for regulatory/audit purposes. Lab begins processing immediately.
